Wedding entertainment can take many forms from elaborate productions to simple, thoughtful touches that quietly shape the atmosphere of the day. For most couples i work with, the intention is the same: to create moments their guests can feel part of, not just observe, The best kind of entertainment isn't just about filling time, it's about giving your guests something to experience.
I've been working as a live illustrator for a couple of years now, and I've noticed the same questions come up from couples who are curious about how it all works. This guide is a simple way to walk through it.
What is live illustration?
Live illustration is exactly what it sounds like an artist creating artwork on-site during your event.
Depending on the artist, this can take different forms: watercolour, ink, markers, or digital illustration. It can also be created on paper, canvas, or even custom items.
Each artist works differently, which is why it’s always worth understanding their process and style before booking. The experience is as much about how it’s created as the final artwork itself.
Who is the illustration for?
There are typically two directions this can take:
Guest illustrations
Quick, individual sketches created during the event and gifted to guests. These are drawn live and usually take 3 to 8 minutes each (depending on the style and complexity). They become a personal keepsake guests can take home, something made just for them, in that moment.
A larger piece for the couple or client
This is a single artwork that captures a scene, moment, or venue from the celebration. It’s often displayed on the day itself or delivered after the event as a keepsake.
Some couples choose to have both guest sketches as favours, and a feature piece for themselves. In those cases, it usually involves multiple artists depending on timing and guest count.
Digital vs paper illustrations
Paper sketches
Traditional hand-drawn illustrations created on-site using ink or markers. I typically work on 6x4” (A6 postcard size) paper and place each sketch in a protective backing sleeve so guests can easily take them home.
Digital sketches
Created live on a tablet and emailed to guests after the event. Guests can also choose printed copies if they’d like a physical version.
Both formats take a similar amount of time to produce, so the choice usually comes down to the feel you want for your event. Something tangible on the day, or something delivered digitally after.
When can you hire a live illustrator?
While weddings are the most common setting, live illustration also works beautifully across different parts of the celebration:
- Corporate events and brand activations
- Birthday and private celebrations
- Engagement parties
- Bridal showers
- Bachelor or bachelorette events
- Wedding after-parties or brunches
- Corporate events and brand activations
Each setting offers a slightly different energy, but the intention remains the same. Creating something personal for guests to take with them.
How it works (Bycraft process)
Every artist will have their own workflow, but this is how we typically structure our team:
- We arrive 30 minutes early to set up
- Guests scan a QR code to upload their details and photos
- For wedding packages, we include an on-site assistant to help take guest photos
- These reference photos are used for the illustration so guests can continue enjoying the event
- Illustrations are completed in order of the sign-up list
- Guests collect their sketches at the end of the event, or receive them digitally the next day
If overtime is included or added, those pieces are completed after the event and delivered once finished, typically within a week.
What is overtime?
Every booking has a natural capacity based on time. Once the list fills up, additional sketches fall under overtime.
This can be handled in two ways:
- Extending the live illustration hours, or
- Completing additional sketches after the event at a per-piece rate
These are then delivered after the wedding, with each piece labelled for reference.
A small tip I often share with couples: overtime sketches can be a thoughtful addition to thank-you notes after the wedding.
How long does it take?
Guest illustrations typically take around 3–8 minutes per guests, depending on style and detail level. We offer minimal to full-detail illustration styles that can be tailor to suit different event vibes and timelines.
This averages out to about 6–10 guests (or 3–5 couples) per hour. Timing may vary slightly based on outfit detail, group size and event flow. For this reason, for larger celebrations, we may recommend additional artists from our network to ensure a smooth guest experience.
A final note
Live illustration sits somewhere between entertainment and memory-making. Guests are drawn in by the process, and leave with something made specifically for them, a small moment from your day, captured in real time.
